An AI maturity model tells you how far your teams have moved from using AI for ideas to running whole workflows on it. At aiblLIVE London 2026, Laura Gregg and Tashan Dunbar of Notion ran a workshop on its four-level model. Each table then mapped one real workflow.
The aim was practical. Find where your teams sit and pick one workflow. Mark where people must approve and where AI can help, then leave with one action for the next 30 days. This page gives you the model and the method.
Notion’s model has four levels. At level 1, AI is a thought partner for exploring ideas. At level 2, it is an assistant that helps people finish tasks faster. At level 3, it automates repetitive team work. At level 4, critical workflows run across the company as a system, with people still at the review points.
Place each team separately, because one company often sits on several levels. Gregg hears customers say one team is at level 3 while the wider business is at level 2. In the room, most attendees put their company between levels 2 and 3. A short self-assessment then let them check their gut feel against survey answers.
We can get to level 1 and 2 relatively quickly, but then I have to make that shift into 3 and 4.

Choose one real workflow, such as campaign brief to live, and write down how it works today. Then mark where the work gets stuck, and where the bottleneck will move once AI speeds up a step. Mark where a person must approve, then where AI can help. Finish with one action you can take in the next 30 days.
Because AI work done in personal chats stays with the person who did it. Dunbar argued that outputs should live in a shared space where colleagues and agents can find them. Agents should draw on company context under each user’s permissions, and pull only what a task needs, which also keeps token costs down.
The best way to make that more optimal for your business is to have context portability.
